Receipt Paper Roll Sizes: Measure Before You Reorder

Match receipt paper to the printer mechanism, paper width, maximum full-roll diameter and core specification. Confirm roll length too when comparing yield and change frequency.

Receipt paper should be selected from the printer's media specification, not from the appearance of the old roll alone. Two white rolls can differ in width, outside diameter, core, coating, thickness, and printing method. A roll that nearly fits can still jam, print poorly, or prevent the cover from closing correctly.

Identify the mechanism first

Find the exact printer model and check whether it uses direct thermal paper or an impact mechanism with a ribbon. Direct thermal media develops an image through heat; ordinary paper intended for a ribbon printer is a different supply. Do not assume that every POS printer uses thermal rolls simply because most stations nearby do.

Keep the printer manual or official media specification with the purchasing record. If the model label is difficult to reach, record it during scheduled maintenance rather than repeatedly ordering by memory. Include any installed paper guide or configuration that affects the accepted width.

Measure the three main dimensions

Paper width

Measure across the paper, edge to edge, parallel to the core. This is different from the roll's diameter. Use millimeters where the manual does, and compare actual tolerances rather than rounding an almost- matching imperial size.

Full-roll outside diameter

Measure across a full roll through its center. This determines whether the roll fits the compartment. The diameter of a partly used roll cannot establish the permitted full-roll diameter.

Core dimensions

Record the inner and outer core dimensions where specified. Check whether the printer uses a spindle or a drop-in compartment, but do not assume that a drop-in design makes all cores acceptable. For example, Epson's TM-m30II-H specification lists paper width and core measurements explicitly. Those values belong to that model; they are not universal Epson or POS requirements.

Record the complete buying specification

Specification Record for this station
Printer Exact model, configuration and mechanism
Media Approved type and manufacturer reference
Paper width Width and permitted tolerance
Full-roll diameter Maximum permitted outside diameter
Core Inner and outer dimensions as specified
Paper construction Thickness/weight; coated side and winding
Purchase quantity Length per roll and rolls per case

Add manufacturer-approved media references when available. If a supplier offers a substitute, compare this record field by field. A matching width alone is insufficient evidence of fit.

Compare usable length and change frequency

Roll diameter does not directly tell you how many receipts a roll will produce. Paper thickness and core size affect how much length fits in the same outside diameter. Compare stated length as well as case quantity, and avoid assuming a heavier-looking roll offers more output.

Use an illustrative planning calculation: if receipts average 8 inches and the roll has 200 feet of usable paper, the theoretical yield is 200 × 12 ÷ 8 = 300 receipts. Actual yield is lower when feeds, opening messages, test prints, and end-of-roll losses consume paper. Measure those effects at your own station before using the estimate for purchasing.

Run a short station trial

Load the sample according to the manufacturer's instructions. Confirm the print side and winding direction. Print a receipt containing ordinary text, small text, a logo if used, and any barcode or QR code required by the business process. Check the complete receipt for clipping and legibility, then test feeding and cutting during a normal run.

If a receipt is blank, investigate paper type and orientation before assuming the printer has failed. If the roll binds, stop and check dimensions or loading rather than forcing the cover closed. Use approved cleaning methods for printheads and cutters.

Store and retain records appropriately

Keep unopened rolls protected from heat, light, moisture, and contamination according to the media instructions. Thermal receipts are not automatically suitable as the only long-term business record. Maintain required transaction records through an appropriate digital or archival process. Before buying a case, confirm its exact width, diameter, core, length, and count.

A documented sample approval reduces the chance that a convenient-looking replacement becomes a problem at every register.

Check a receipt-roll quote in this order

  1. Reject any roll outside the printer specification.
  2. Compare length per roll and total length per case.
  3. Measure actual paper consumed per completed receipt, including routine feed.
  4. Estimate change frequency and storage demand using that observed use.
