Switch Food Label Suppliers Without Kitchen Disruption

Change food label suppliers in stages: test the replacement, brief staff and keep enough approved stock to cover the transition. A similar-looking label can differ in writing surface, adhesion and removal instructions.

Set the changeover window

  1. Count current rolls by location and estimate weekly usage.
  2. Confirm the proposed supplier’s lead time and sample availability.
  3. Trial the replacement at one representative prep station while retaining the current option.
  4. Record the approved product, compatible pen and removal method before expanding the change.

Fix small problems during the pilot

In a two-location group, one station may discover that its usual marker smudges on the replacement. Resolve that combination before distributing the roll everywhere. Record the exact label and pen together; changing one can invalidate the earlier result.

Brief every shift

Show where each required field goes, how dates should be written and when the old label comes off. Include closing and washing staff as well as prep cooks. Put a completed example beside the dispenser and identify who handles questions.

Keep a practical fallback

Retain approved stock through the first deliveries and complete service cycles. Set the buffer using actual usage and a realistic replenishment interval. Review missing labels, rewrites and cleanup complaints before retiring the old supply.
