Address Labels vs Shipping Labels: Which Job Needs Which?
Share
An address label supplies mailing details; a carrier-generated shipping label connects a parcel to its shipment and service. Choose the label for the mailing task and purchase required postage separately.
An address label identifies a destination. A shipping label generated by a carrier or shipping platform also connects the package to a purchased service and shipment record. A neatly printed address sticker does not replace postage, required customs information, or a carrier tracking label.
Choose the label by the mailing task
For business letters, an address label can provide the recipient's mailing details on an envelope that receives postage separately. A return-address label identifies the sender. For a tracked parcel, use the label produced for that shipment and service. Do not recreate its barcode or substitute your own reference number. Keep marketing stickers and internal order references separate from routing information.
Extra scannable codes near a carrier label can create confusion, especially on reused packaging. The final parcel should present a clear current destination and the required service information.
Clean the address list before printing
Review company names, attention lines, street addresses, unit numbers, city, state, and ZIP Codes. Confirm that imported fields have not shifted into neighboring columns. Preserve leading zeros in postal codes, and check that software has not changed an identifier into a number or date. Copy this mailing-list structure:
| Mailing-list field | Value to verify |
|---|---|
| Recipient | Recipient name |
| Company | Business name |
| Address line 1 | Street and number |
| Address line 2 | Suite or unit |
| City | City |
| State | State |
| ZIP Code | Postal code, stored as text |
Run a small test containing the longest company name and a multi-line address. A layout that fits the shortest record can clip important information in the rest of the batch. Review a sample from the beginning, middle, and end after merging data.
Use an actual address layout
For a nominal DYMO 30252 address label, set the document to 1 1/8 × 3 1/2 inches, then confirm your media and printer requirements. The familiar standard genuine roll reference has 350 labels; third-party pack counts can differ. Roll quantity does not determine the document's printed dimensions. Use this line order in your mail merge:
RECIPIENT NAME
COMPANY NAME
STREET ADDRESS
SUITE OR UNIT
CITY STATE ZIP CODE
Remove unused lines cleanly instead of leaving blank gaps. Use a readable typeface and allow margins so edge positioning does not clip characters. This is a text layout, not a prebuilt software file or a claim of compatibility with every LabelWriter generation. For the return address, use:
SENDER OR BUSINESS NAME
RETURN STREET ADDRESS
CITY STATE ZIP CODE
Check placement against the mailpiece and postal requirements for the service you are using. Avoid treating a small return-address sticker as the main parcel destination simply because it fits the available corner.
Print at the intended size
Check the page dimensions in both the application and printer driver. Disable unintended scaling that changes the layout. For sheet labels, match the exact sheet arrangement and test on plain paper before feeding adhesive stock. For roll labels, confirm media orientation and sensing setup using the printer's instructions. If a line is missing, inspect the merged record before increasing darkness or replacing the roll.
If every address shifts the same way, investigate document margins or the selected stock definition. Change one setting at a time and keep the successful configuration with the job record.
Finish the mailpiece, then inspect it
Apply labels to a clean, flat area and press the edges firmly. Keep the destination readable and unobstructed. For parcel shipping, UPS directs shippers to remove old labels or markings before preparing the new shipment. Before a large run, compare the exact dimensions, count per roll or sheet, adhesive, and model-specific compatibility.
Save the approved layout in your own label software with a clear version name, and print a fresh test whenever the source data or media changes.
Review the merge before using adhesive stock
| Test record | What it exposes |
|---|---|
| Longest company name | Clipped text or excessive line wrapping |
| Suite or unit address | A missing second address line |
| Postal code with a leading zero | Numeric formatting that changes the value |
| Record with no company | Blank gaps left by unused fields |
